This Privacy Policy describes how the Mentor Mentee application ("we", "our", or "the App") collects, uses, maintains, and discloses information collected from registered students ("Mentees") and faculty members ("Mentors") of Swami Vivekanand Subharti University.

By accessing or using the Mentor Mentee application, you consent to the data collection and usage practices described in this policy.

1. Information We Collect

The App collects only the necessary information required for academic mentoring, progress tracking, and university administrative support:

• User Profile & Identity Data: Full Name, Student/Employee ID, Enrollment Number, College, Department/Course, Current Academic Year/Semester, and Profile Photograph.
• Contact & Residential Information: Email address, mobile contact number, permanent residence address, and hostel address (if residing on campus).
• Mentorship & Meeting Records: Mentor-Mentee meeting schedules, meeting notes, action items/tasks, minutes of meetings, and meeting attendance records.
• Well-Being Assessments (WHO-5): Self-reported responses to the standard WHO-5 Well-Being Index questionnaire to assess student mental wellness and provide timely guidance and counseling support.
• Feedback & Academic Flags: Student feedback, mentor responses, and academic guidance flags (red flags) to identify students who may require additional academic support.
• Device Information & Permissions: Notification permissions (POST_NOTIFICATIONS) to deliver meeting reminders and important announcements; Internet access (INTERNET) to securely communicate with the university server.

2. How We Use Collected Information

The information collected is used exclusively for legitimate educational and institutional purposes, including:

• Authenticating and authorizing students and faculty through university ERP credentials.
• Assigning mentees to mentors and managing academic mentoring relationships.
• Scheduling, logging, and tracking attendance for mentor-mentee meetings.
• Monitoring student well-being via WHO-5 assessments and offering support where needed.
• Sending push notifications for scheduled meetings, pending tasks, and academic alerts.
• Improving institutional academic support and ensuring safety and compliance within the university.

3. Data Sharing & Third-Party Disclosure

Your information is strictly shared within the authorized educational framework:

• University Authorized Personnel: Assigned mentors, academic heads, and university administrators who need access to fulfill their mentoring and educational duties.
• Meeting Integration Services: If virtual meetings are scheduled via Zoom or similar video conferencing software, only essential meeting links and IDs are used via device intent.
• Legal & Regulatory Compliance: We may disclose information if mandated by applicable law, regulation, or university statutory guidelines.

4. Data Storage & Security Measures

We implement industry-standard security protocols to protect your personal information against unauthorized access, alteration, disclosure, or destruction:

• All network communications between the mobile app and our servers are encrypted using Secure Sockets Layer / Transport Layer Security (HTTPS/TLS).
• Data is securely stored on institutional university enterprise servers (umsapi.subharti.org / ems.subharti.org) with role-based access control.
• Authentication tokens are securely stored locally on the user's device using encrypted storage.

5. Data Retention & Deletion Policy

We retain personal data for the duration of the student's enrollment or the faculty member's tenure with the university, or as required by university academic retention policies.

Account & Data Deletion Requests: Users who wish to review, update, or request the deletion of their personal data may contact the university administrative authority or email our support team at kumarvikash010203@gmail.com. Upon verification, the requested records will be processed in accordance with university academic regulations.

6. Children's Privacy

The Mentor Mentee application is designed specifically for university students and faculty members. It is not intended for use by children under 13 years of age. We do not knowingly collect personal identifiable information from children under the age of 13.

7. Changes to This Privacy Policy

Swami Vivekanand Subharti University reserves the right to update or modify this Privacy Policy at any time. Any revisions will be reflected on this page with an updated effective date. We encourage users to frequently check this page for any changes.
